Housing Cancellation Fees and Deadlines

The university is actively monitoring the COVID-19 pandemic and housing will notify students of any changes in housing for the academic year.  

 

2022-2023 HOUSING AGREEMENT CANCELLATION POLICY

Students who are NOT required to live on campus, and subsequently receive a Student Housing assignment, are able to submit a Student Housing cancellation request after their agreement has been submitted. Submission of a cancellation does not guarantee approval. The cancellation request will be reviewed by HRL and the determination will be based on the reason/conditions for cancellation. Please note that first-time freshmen and sophomores are required to live on-campus their first 2 years of enrollment at Seattle University and are not able to request to cancel their Student Housing assignment.

CANCELING YOUR HOUSING CONTRACT BEFORE YOUR OCCUPANCY START DATE

Students who submit a Student Housing cancellation request may be approved if the request is submitted before the occupancy start date AND the student has not physically occupied the assigned space. The occupancy start date for the 2022-2023 Academic Year for first-year and new transfer students is Saturday, September 17, 2022. For continuing undergraduate students and general Graduate students, the occupancy start date is Sunday, September 18, 2022. The occupancy start date for Law Students is Saturday, August 13, 2022. Students who cancel their housing contract before the occupancy start date may be assessed a fee outlined later on this page.

CANCELING YOUR HOUSING CONTRACT ON/AFTER YOUR OCCUPANCY START DATE

On or after the first date of occupancy, regardless of whether the student has moved in or not, the student will be responsible for the $1,000.00 cancellation fee in addition to 100% of the current term's housing room charge as well as 50% of housing room charges of any remaining quarter(s) within the 2022-2023 Academic Year if their cancellation is approved. Once a term has commenced the cancellation request may only be requested for subsequent terms. 

REASONS FOR CANCELLATION

After the occupancy start date, students who submit a request to cancel their housing agreement need to fall into 1 of the following categories:

  1.  Commuting - Students who currently have a booking on-campus and are not required to live on campus.
  2. Marriage - Occurring after the occupancy start date of the housing agreement.
  3. Medical Accommodation - conditions for which the University is unable to accommodate with on-campus residence.
  4. Transfer, Withdrawal, Hardship Withdrawal - Students who are transferring to another school or withdrawing (includes Student Leave of Absence and Hardship Withdrawal).
  5. Academic Internship/Exchange/Study Abroad
  6. Military Relocation

CANCELLATION FEE

Students who submit a housing cancellation request—and are approved—will be charged a cancellation fee based on the fee structure outlined below. The cancellation fee is in addition to all applicable room, meal plan, and/or other miscellaneous housing charges. The cancellation fee will ONLY be waived if the cancellation reason is due to not being enrolled at Seattle University at any point during the agreement period (this criteria includes students on a Leave of Absence, Withdrawal from Seattle U, Study Abroad, and early Graduation).

Special note for students who submit a Housing Cancellation request to live at Vi Hilbert or Douglas: If a student already has a confirmed housing assignment through the HRL Housing Selection Process, but then later decides to live at one of our 2 partner communities, Vi Hilbert or Douglas, the cancellation fee will be waived between March 18, 2022 and May 1, 2022. Any Housing Cancellation Request submitted after May 1, 2022—with intention to live at Vi Hilbert or Douglas—will be assessed a cancellation fee based on the fee tables below, if approved.

July 1, 2022 to September 17, 2022 $1,000.00
On or After September 18, 2022 100% of the housing room charges for the current term + 50% housing room charges of any remaining quarter(s) for the academic year

 

Academic Year 2022-2023 Housing Application Cancellation Fee Schedule (New Students for Fall 2022) 

August 11, 2022 to August 31, 2022 $500.00
September 1, 2022 to September 16, 2022 $1,000.00
On or After September 17, 2022 100% of the housing room charges for the current term + 50% housing room charges of any remaining quarter(s) for the academic year

 

Winter/Spring 2023 Housing Application Cancellation Fee Schedule (For new applicants for  Winter/Spring 2023)

December 7, 2022 to December 14, 2022 $500.00
December 14, 2022 to January 2, 2023 $1,000.00
On or After January 3, 2023 100% of the housing room charges for the current term + 50% housing room charges of any remaining quarter(s) for the academic year

 

 

Spring 2023 Housing Application Cancellation Fee Schedule (For new applicants for Spring 2023)

March 6, 2023 to March 17, 2023 $500.00
March 18, 2023 to March 27, 2023 $1,000.00
On or After March 28, 2023 100% of the housing room charges for the current term + 50% housing room charges of any remaining quarter(s) for the academic year

*If you are a student who is admitted late to Seattle University during the summer time after initial assignments have been released, you will have a 3 day grace period to decline your housing offer without financial penalty based on the time table above. If you request to cancel your housing assignment past the 3 day grace period, you will be charged the cancellation fee that applies from the timeline above on the date of your cancellation request, if approved. 

How to Cancel Housing

  1. Log into the Housing Portal
  2. Select Requests
  3. Choose "Cancellation of Application/Housing" in the drop down menu
  4. Select the term session of application you are cancelling
