Current pay rates

$18.69/hr through Dec 31, 2023. $19.97 beginning Jan 1, 2024

$22.67/hr for approved Graduate Assistant positions (as of Oct 16, 2023)

Tax-exempt status

Per the Internal Revenue Service, student employees who meet student employment eligibility criteria are exempt from paying FICA (Federal Insurance Contributions Act) taxes - with the exception of during scheduled academic breaks of greater than 5 weeks (i.e. summer).

When do I get paid?

Student employees have two pay periods each month:

Pay Period Pay Day
1st - 15th 25th*
16th - last day of the month 10th*

*with some exceptions when dates fall on weekends or holidays. You can view the Payroll calendar on the left of the Payroll website, under Payroll Resources.

Direct Deposit

New student employees will complete a Direct Deposit Form with their new hire paperwork, allowing them to enroll (or decline) to receive their paychecks through bank deposits.

Once Direct Deposit is set up, to change/update your Direct Deposit information:

Continuing/returning student employees should NOT submit a new Direct Deposit Form to update their banking information.

Timesheets

View Payroll’s 'Time Entry Training for Student Employees' on the Payroll website under 'Payroll Resources' in the left menu.

Time entry is due at 11:59pm on the last day of the pay period.

You will have access to your timesheet once your Student Employment Action Form (SEAF) has been processed by Payroll, which should be before your first pay period ends. You can view the status of your SEAF by viewing it on forms.seattleu.edu under 'Activity' on the left menu. Then click on 'History' on the bottom menu. If have questions about the status of your SEAF or timesheet, email studentemployment@seattleu.edu.

What if I miss the time entry deadline or am unable to submit my timesheet?

Supervisors have two days after the end of the pay period (typically 11:59pm on the 17th and 2nd of the month - with exceptions due to weekends and holidays) to review and approve student employee timesheets. During this period, they can add any time that was missed or edit time.

If the supervisor approval period has passed, Supervisors will need submit a Pay Period Adjustment with the details of the days and hours worked – you may need to share these details with your supervisor. Supervisors should submit Pay Period Adjustments by the next Supervisor approval deadline. Student employees will be paid on the pay date following that Supervisor approval deadline.
