    The Registrar bears the ultimate responsibility for the operation and functioning of the University Registrar & Operations Office. This includes, but is not limited to employee and budget management, annual planning, representation on University committees and task forces. Additionally, the Registrar is responsible for understanding and applying legal and governmental regulations, such as FERPA, as they apply to student records and academic policies.

    The Operations Associate Registrar is responsible for transfer evaluation processes as well as degree audit processes, maintenance and procedures. This Associate role supervises a staff of five Student Academic Specialists. The Operations Associate Registrar understands and applies FERPA standards and can clarify FERPA to the broader university community.

    The Systems Associate Registrar is responsible for managing the Datatel Colleague system procedures and documentation, and is the primary liaison with OIT on issues related to the operation and customization of the Colleague system. Additionally, this role fulfills all Clearinghouse obligations and processes subpoena requests and Solomon Act requests. The role supervises the Scheduling and Course Information Specialist and the Records Specialist. The Systems Associate Registrar understands and applies FERPA standards and can clarify FERPA to the broader university community.

    The Associate Director - Operations is responsible for overseeing the process of all incoming documents to Undergraduate and Graduate Admissions, Student Financial Services and the Office of the Registrar & Operations. The Associate Director Operations role supervises a team of Production Specialists, Data Processors, a Production Control Lead and several student workers. They are responsible for managing the procedures for all workflows and data entry and is also responsible for managing the daily administration of the Operation staff.

    The Academic Records Specialist manages transcript requests, diplomas, and enrollment verifications for undergraduate and graduate students (except Law School students). Supervises work study students and maintains permanent record organization and filing for the Office of the Registrar.

    Scheduling and Course Information Specialist

    The Scheduling and Course Information Specialist manages the Quarterly Schedule of Classes, which includes working with faculty to develop the schedule for days, times and room assignments.

  • Student Academic Specialist Staff

    The Academic Specialist Staff serve as a policy expert and resource for students and faculty regarding academic requirements for both undergraduate and graduate degrees. Additionally, Specialists process requests for change of majors, declaration of minors, and evaluate applications for graduation.

    The Specialists are available for student appointments during regular business hours, Monday and Tuesday from 9:00 a.m. to 6:00 p.m. and Wednesday through Friday from 9:00 a.m. through 4:30 p.m., as well as via e-mail or phone. Appointment times are scheduled through your Specialist.

    The Administrative Staff serves as the primary walk-up, telephone, and email contact for faculty, staff, students, and the public.

    The Communications Representative maintains the Office of the Registrar & Operations Knowledge Base, processes various forms and letters, and serves as back up for the Academic Records Specialist. This role supervises three student workers who provide assistance to the Administrative Staff.

    The Office Administrative Assistant supports the University Registrar by maintaining the Registrar’s appointment calendar, and typing and disseminating memoranda and other communications; and supports the office by managing supplies and invoices and supporting office staff as needed.

    Production Control Lead engages in all facets of student-related data entry and data tracking as needed to cover priorities for Admissions, Student Financial Services and the Office of the Registrar & Operations. The Production Control Lead oversees maintenance of data entry documentation and collaboratively sets data entry priorities based upon service level standards across all client groups. A central function is the entry of data related to admissions, registration, financial aid and student employment into the Colleague computer system.

    Data Processors

    Data Processors enter student-related data and track all incoming forms for Admissions, Student Financial Services and the Office of the Registrar and Operations. Data Processors enter test scores, transcripts and other time sensitive information to ensure forms accuracy and to properly process. Document and refer data discrepancies and/or processing problems to the appropriate person/department.

    Production Specialists

    The Production Specialists oversee and monitor the production and accuracy of reports, import appropriate data and audit in the Colleague system for accuracy. Generate daily, weekly, quarterly and annual reports for Student Financial Services, Undergraduate and Graduate Admissions and the Office of the Registrar & Operations. Batch data communication codes to increase data output accuracy. They develop, revise and update daily production schedule and distribute reports to departments. Develop ad-hoc reports. Additionally they work with Information Technology to troubleshoot errors in reporting or uploads. Import inquires, applications and test results from the WEB and audit for accuracy.
