ImageNow System Requirements

The ImageNow desktop client requires a Windows computer.  Any of the Seattle University standard PC computers exceed the minimum requirements to run ImageNow.  As the ImageNow client is a requirement for scanning, a Windows computer is a requirement for scanning documents into ImageNow.  Information on ordering a Windows computer may be found by clicking here.

For more information about scanner requirements, refer to the manufacturer’s documentation.

Common Requests

Common requests for WebNow include permissions for new users, requests for new workflow queues, changes to existing workflow queues,  changes to queue routing rules, and changes to security groups.  If you would like an updated picture of your department's workflow, please submit a request through the Help Desk.  To request changes to ImageNow, contact the Help Desk at 206-296-5571 or by emailing HelpDesk@seattleu.edu.

Queue Requests

As with any request, please include a requested-by date and a brief summary of the business impact associated with your request.  This helps OIT to balance the completion of multiple requests and incidents in a timely fashion and provide you with better service.

  • Permissions for new users:  power users in each department have permissions within ImageNow to add new users to security groups which allow access to specific documents, drawers, and workflow queues.
  • Requests for new workflow queues: only the ImageNow administrator in the Office of Information Technology has permissions within ImageNow to configure new workflow queues.  To request a new workflow queue, please contact the Help Desk and provide the following information: the name of the new queue, where the queue should be added in the existing workflow, the routes that should be added to and from the queue, and who should have permissions to the queue.  If the change is complicated, a meeting will be scheduled with ImageNow administrator and a power user from the impacted departments to ensure that the changes are understood by all parties.  The ImageNow administrator will add a security group to the queue so that power users in your department may update the permissions for the workflow queue in the future.  This information will be provided before resolving your request.
  • Changes to existing workflow queues:  simple adjustments such as changes to queue permissions,  new routes to existing queues, and changes to routing rules may be submitted directly to the HelpDesk.  The ImageNow administrator will follow up with you if any additional information is needed to make a change.
  • Changes to queue routing rules:  some departments have routing rules configured so that documents with certain properties are routed to specific queues.   These changes must be made by the ImageNow administrator.  Please submit a Help Desk request with the following information: the queues associated with the rule and the changes that you would like made to the queue.  If your department does not have a copy of the existing rule, the ImageNow administrator will follow up with a Word or Excel Document for your departmental records.
  • Changes to security groups: to request a change to a security group, please include the name of the security group and the changes that you would like made.

Configure Java for WebNow

This guide will walk you through configuring your computer for use with WebNow.

Although WebNow is run from an Internet Browser, it is more than just a webpage.  Because WebNow is a Web-based Java application, some initial configuration of your computer is required when using WebNow.  When first launching WebNow, your computer may take a minute to initialize the application.

If you are not comfortable performing these steps, or if you are not the administrator on your machine, or if these steps do not resolve your issue, please open a ticket with the Help Desk for assistance.

Web-based Java applications such as WebNow that require downloading lots of images may perform poorly during prolonged usage.  Before using WebNow, you will need to ensure that your computer is configured with the latest version of Java.  On older workstations, the Java Runtime Environment also needs to be configured with specific settings.

1. Confirm that you have the correct version of Java (v1.6).

  • To verify that you have the latest Java, visit java.com
  • On the Java website, click the Do I have Java? link.
  • Click the Verify Java button to have the website report to you whether your computer has the latest Java installed and if your computer has older versions installed too.
  • Follow the instructions on the screen to download the newest Java version if indicated.

2. Make sure all previous versions of Java are uninstalled.

  • In Windows click your Start button and then select Control Panel.
  • In Control Panel, select Add\Remove programs.
  • In Add\Remote Programs click on any previous version of Java or Java JSE and then click remove. Repeat this step until all previous versions of Java are uninstalled.

3. Empty your Java Cache.

  •  From your Windows Start Menu, open Control Panel.
  •  In Control Panel, find the Java icon and double click to open it.
  •  Under Temporary Internet Files, click Settings.
  •  Click Delete Files.
  •  Click OK.
  •  To exit the Java configuration panel, click OK and then click OK again on the main window.

4. a) Add runtime commands to Java.

  • If your computer runs Windows XP, you may execute the following script if connected to the Seattle University network.
    • Click on your Windows Start Menu and select Run.
    • Enter the following: \\oitfs2\apps\ImageNow\javaconfigwebnow.bat
    • Click OK.
  • From your Windows Start Menu, open Control Panel.
  • In Control Panel, find the Java icon and double click to open it.
  • Click on the Java Tab.
  • Under Java Runtime Environment Settings, click View.
  • Under Runtime Parameters, enter the following commands: -Xms256 -Xmx256
  • Click OK.
  • Click Apply and then OK.
  • Follow the steps above to go back to the Java Runtime Environment Settings screen to confirm that the change was saved.  If not, proceed to the next step or open a ticket through the Help Desk.

4. b) Alternatively, manually add runtime commands to the Java deployment.properties file.

  • In Windows Explorer, navigate to C:\Documents and Settings\username\Application Data\Sun\Java\Deployment (where username is the name of your SU Network Logon).
  • Open the deployment.properties file with Notepad.
  • If it does not already exist, add the following line to the bottom of the document: deployment.javaws.jre.0.args=-Xms256m -Xmx256m
  • Click Save.

Clear your Java Cache

Much like how web browsers store temporary Internet files of the sites that you visit, Java also stores temporary files related to applications that it runs.  If after prolonged use of WebNow the application starts to display slower performance, emptying your Java cache should improve performance.  This will delete the cache of WebNow and related files from your computer.  After performing these steps, be sure to visit the WebNow site so that your computer can initialize the application before you need to use it.

Below are the steps for emptying your Java cache.

  • Click on your Windows Start Menu.
  • Select Control Panel.
  • In the Control Panel window, double click on the Java icon.
  • In the Java Control Panel under Temporary Internet Files, click on Settings...
  • In the Temporary Internet Files window, click on Delete Files...
  • In the Delete Temporary Files window, click OK.
  • Close the Java Control Panel.

It is recommended that you visit the WebNow site immediately after performing these steps so that it is ready for the next time that you use it.

  • Open Internet Explorer
  • Visit the WebNow site at: https://oitap012.seattleu.edu:8443/webnow.
  • Internet Explorer may appear to be frozen while Java initializes WebNow in your browser.  If the WebNow logon page does not appear after 2 minutes, please contact open a ticket with the  Help Desk for assistance.
