    Requests

    Requests submitted toDylan Hoffmanin the Appropriations Mailbox in the SGSU Office (Student Center 360) or to SGSUVPFinance@seattleu.edu (206) 296-6045.

    To be considered for funding, your club or organization must provide a completed request form and attend the scheduled meeting with a minimum of 2 student representatives present.

    Multiple Requests: One, and only one, request per event must be completed. However, all requests for the same club may be heard at one Appropriations meeting, but must be filed on separate request forms.

    Meetings: A meeting will be scheduled by the SGSU VP of Finance after a request form has been submitted. Notification of the Committee's decision will be via e-mail, sent to the club's contact person by the end of each meeting day.

    PowerPoint Presentation: A PowerPoint presentation is expected of each club on the day of their meeting. Presentations should be less than 5 minutes and include the following information:

    • Background information/history about the club
    • What event the club is hosting or would like to be a part of?
    • What is the event's purpose?
    • How does the event fit with the Jesuit Mission?
    • How will it benefit the Seattle U students?
    • Why should SGSU Appropriations support the event?

    Reimbursements

    Reimbursement forms are due no later than thirty (30) days after the date of the event or program or your event will not be funded.

    • Completed evaluation form is required and must be submitted before or with the funding paperwork.

    Eligibility & Qualifications

    Club or Student Organization Eligibility

    • To be eligible for SGSU Appropriations funding, your club or organization must be recognized by Student Activities and/or Seattle University.

    Club Sports

    • Club sports funding requests must be submitted to Recreational Sports at Seattle University first.
    • Appropriations will only fund club sports if they have been approved by the Rec Sports department.

    Overall Funding Guidelines

    General Notes on Funds & Funding

    • Funds will be distributed on a rolling basis.
    • Requests can be submitted anytime during the school year.
    • Events that have taken place before the request presentation at the Appropriations meeting or the SGSU Rep Assembly will not be considered.
    • Events and programs that are open and can benefit all students or a greater student population are looked upon more favorably than events that are exclusive.
    • Food and drink for general club meetings will not be funded.
    • Funding for alcohol at events will not be funded under any circumstances.
    • Requests for general club operating funds or operating funds will not be accepted.

    Fundraising and Club Funding Revenue Expectations:

    • Requests of $300 or less do not require fundraising; however, fundraising is strongly encouraged.
    • Requests of $300-$1,000 require 35% of the total cost to be funded by the club, outside sources, and/or fundraised.
    • Requests of $1,000-$1,500 require 40% of the total cost to be funded by the club, outside sources, and/or fundraised.
    • Requests of $1,500-$2,000 require 45% of the total cost to be funded by the club, outside sources, and/or fundraised.
    • Requests of $2,000 or more require 50% of the total cost to be funded by the club, outside sources, and/or fundraised.
    • Clubs who have a detailed track record of fundraising and requesting funds from other sources/departments will be given priority.

    Off-Campus Events (travel, conference, immersion trips, transportation, etc.):

    • Appropriations will not fund airfare.
    • Appropriations will not fund meals or food.
    • Hotel or Lodging, transportation, service trip fees, andconference fees (together) arelimited to $45 per person per day.
    • Any requests for conference or travel funding must result in a benefit to the general Seattle U student body.
    • "Bringing the experience back to SU":Clubs have 30 days to do this for events during the school year and until the end of fall quarter to do this for events that occurred over the summer. (Examples: Spectator interview, SGSU Website update, On-campus exhibit.) Clubs will not be funded until this is completed.

    Political Party or Candidate:

    • Funding requests to attend events which will financially support (directly or indirectly) a political party or candidate will not be approved for funding.
    • Events that are bi-partisan or non-partisan (i.e. a campus debate) will be considered for funding.

    Exceptions: Exceptions will be made at the discretion of the Appropriations Committee and/or the VP of Finance.

    Stipulations

    All publicity for the event or program must include "Sponsored by SGSU" and include the SGSU logo.

    Additional stipulations may be added by the Appropriations Committee during the meeting.
