Fundraising Resources

  • A privilege of being a recognized club is being able to apply for various funding sources. The main funding sources for clubs is through SGSU Appropriations and Fundraising. More information can be found at the sub-menu to the left.

    Fundraising

    All student fundraising efforts need to be coordinated with University Advancement.

    If you are asking people or corporations for donations in the form of:

     

    • Money
    • Gift certificates or items for auction or give-a-ways.
    • Holding an event that has registration fees that exceed the cost of holding the event.

    Then you need to

    • First, get approval from your club or program advisor to proceed with the project
    • Second, contact University Advancement Office at 296-6120 or to make an appointment.

    Please be prepared to provide an overview of your plan and discuss:

    • Who you want to solicit?
    • How/when do you plan to solicit them (mail, phone, in person, etc.)?
    • What are you going to ask for (money or items)?
    • How will donors send in their gifts?
    • How will you thank your donors?

     

    What to know before getting started

    The following organizations/groups can be asked to participate without prior University Advancement approval:

    • Food establishments (pizza places, restaurants, etc.)
    • Local retail stores (businesses along Broadway or Madison streets)
    • Campus organizations
    • Parents (the parents of students in your organization/club)

    The following MUST be cleared with University Advancement before approaching for donations:

    • All non-retail businesses (attorneys, accountants, insurance agents, etc)
    • Corporations (Pepsi, Coca-Cola, Starbucks, Costco, etc.)
    • Foundations (Gates, Peach, etc.)
    • Banks (Banner Bank, Columbia, Key Bank, Wells Fargo, etc.)
    • SU Alumni – We do phone-a-thons and direct mail efforts multiple times a year to our alumni for support of the SU Fund and school programs. Under certain circumstances, we may be able to work with you to solicit certain alumni that have an affiliation with your organization/club.

    You will need to report any gifts you receive to Keisa Liu in University Advancement: (in an excel spreadsheet to liuke@seattleu.edu)

    1. Donor's name (organization and contact person)
    2. Donor's address
    3. Gift description
    4. Gift amount (or estimated value of gift-in-kind)
    5. The name of the program this gift supporting – fund name if you know it
    6. Your contact information for questions
    Note: The more information you can collect, the better.

    Gift Types

    Gifts that need to be processed by the Advancement Services Office:

    1. Donor receives no tangible good/service for monetary donation, or
    2. The value of the tangible good/service the donor receives is less than the amount of the monetary gift, or
    3. The donor provides a good or service for reduced or no payment, or
    4. Either all or a portion of the registration fee for attending an event is not being used to cover the cost of the event

    Gifts that do not need to be processed by Advancement Services, and can be sent directly to the Controller's Office:

    • The donor receives a tangible good/service that equals or is greater than the monetary donation.
    • All of the donor's payment is used to cover the cost of the event he/she is attending.

    What do I do with cash gifts that need to be processed by the Advancement Services Office?

    1. Make a list of all donors and gifts you are sending for your records
    2. Send gift (i.e. check, cash or credit card information) to Advancement Services Office in Admin 120, along with:
      • Donor Name and mailing address
      • The name of the program this gift supporting – fund name if you know it
      • Is any portion of this gift being used to cover the cost of attending an event – if so how much
      • Your contact information for questions
    3. Keep a copy of this list for your records

     

    What do I do with Gifts-In-Kind (i.e. donated goods, gift certificates, etc.)?

    Report the following to Advancement Services:

    1. Donor's name and mailing address
    2. The name of the program this gift supporting – fund name if you know it
    3. Gift description
    4. Fair market value of the item (estimated if necessary)
    5. Your contact information for questions
    6. Keep a copy of this list for your records


    What do I do with money that does not need to be processed by the Advancement Services Office?

    1. Make certain that this is not a gift. Ask yourself:
      • Is the donor expecting to get a tax deduction for this donation?
      • Is this revenue for a program?
    2. If you answer yes to either of these questions, please send this money to be processed by the Advancement Services Office in Admin 120. If you aren't sure, call them at 206-296-6123.
    3. Keep a list of all of these transactions, including donor name and amount for your records.
    4. Send money (ie, check or cash) to the Controller's Office for deposit into your club account number
